This exciting role supports the Sales team in maximising revenue through the exploitation of BBC Studio's programme catalogue by providing administrative support across TV Sales in a key client facing role.
In this role, you'll take responsibility for the implementation of contracts negotiated by the Sales Executives, acting as first point of contact for customers, as well as administering and processing TV licence deals in the territory. You'll be aware of and report on any issues which may impact on current commercial activities.
- Take responsibility for a portfolio of clients (TV, digital, licence deals) and assist in the licensing of TV rights to clients in the designated territories.
- Supervise technical delivery of materials (both physical and digital), ensuring clients receive programme masters and marketing assets in a timely and cost effective manner.
- Maintain the BBC Studios France Facebook page. Plan and communicate about TV broadcasts and digital releases. Engage audiences and use analytics to improve figures and brand knowledge in France.
- Liaise with BBCS and Global Channels branding and marketing teams as appropriate in approving marketing materials (posters, TV ads, cross promotional campaigns etc.).
- Provide complete administrative support to the TV Sales team including diary management, dealing with incoming mail and phone calls, fielding general internal and client queries, organising diaries for Markets and Trade Fairs and organising business trips. Maintain comprehensive records of client correspondence and other relevant client and territory information on the contact management system (Microsoft CRM) and Salesforce (CMP). Work closely with Sales Teams to ensure CRM and Salesforce (CMP) are always up to date with clients’ contacts. Maintain comprehensive records of client data Actively use CRM and Salesforce (CMP) to create client invitation lists for Showcase, corporate mailing lists, invitations to Territory events etc.). Cover other Sales Support positions during holiday or sick leave.
- Actively promote the Online Catalogue to clients and to manage all OLC client notifications including registration, client updates. Request programme content to be made available by the Operations team on the OLC when requested by clients. Order up DVD screeners for clients where required.
- Research available content and packages for Sales using BBCS systems – iNFOcentre, DRD (Digital Rights Database), SPS, Media Maestro, OLC and to ensure all programmes are clear and available for Sale for appropriate platform in the territory with confirmed clearance cost information.
- Distribute appropriate marketing information to clients in the territory - catalogues, brochures and other relevant publicity, prepare specific presentation for Sales pitches as required by the Sales team and liaise with Marketing Team on direct marketing campaigns.
- Update TV Sales on UK transmission and expected delivery date of materials from BBC Production and independent producers. To keep clients informed of lead / delivery times on new materials and any delays in delivery.
- Administrate the Sales Order process – working with Sales Exec on signature and processing of Deal Memos, issuing and signature of standard and non-standard contracts, processing of Sales Orders on SPS or SAP SD.
- Maintain up-to-date and accurate records of all Sales as well as approved and rejected titles. Communicate with the Finance Department for purposes of accurate accounting and invoicing.
- Fully understand the processes and costs for supplying Master tapes and/or Digital Files to clients and communicate these to the Sales teams to inform their deal negotiations. Order up relevant technical materials and artwork to service the territory deals using BBCS systems. Track delivery of materials and ensure timely and efficient delivery to clients to meet their deadlines
- Sales & Financial reporting – liaise with Execs in updating the Sales Tally with deal information confirmed and pending and provide other management information on Sales in the territory as required.
- Have a good understanding of the client base and company profiles in the French speaking Markets and a thorough knowledge of the BBC Studios catalogue.
- Help prepare presentations on the French speaking territories business to the BBCS Top Management team.
- Attend Trade Fairs to support the Events teams in UK and overseas if required.
This role requires the individual to be highly organised with the ability to manage their own workload, as you will be responsible for ensuring clients receive a first class service and that the Sales Teams are well supported in their need to deliver revenues into BBC Studios.
In addition to this, you'll need to have:
- The ability to prioritise and demonstrate attention to detail
- To be pro-active and demonstrate initiative
- Good team player and experience of dealing with complex administrative tasks
- Excellent IT Skills on basic systems e.g. Word, Excel, PowerPoint, Photoshop and need to be adept at learning new Systems
- Fluent spoken and written English
- Good level of spoken and written French
- Administrative experience, preferably within a media or sales environment
- An awareness of and interest in TV, digital media and VOD platforms
- Excellent customer service skills and ability to deal with people at all levels
- An understanding of the television media industry including Digital media distribution and platforms would be an advantage
